Time management

Time management is an important part of being organized. “Time management” is the process of organizing and planning how to divide your time between specific activities, especially to increase effectiveness, efficiency or productivity. Also, it’s defined as the act of planning the amount of time you spend on which activities.

Carla Crutsinger defined effective time management as the process of:

  1. Setting goals
  2. Prioritizing those goals
  3. Deciding how much time to allocate to specific tasks
  4. Adjusting plans as they change
  5. Revisiting the goals and priorities regularly
  6. Observing results

Neil Shipman indicates that the critical skills for time management are:

  1. Being aware of yourself – your costumes, your approaches and ways of working
  2. Structuring your time
  3. Setting goals and priorities
  4. Increasing personal efficiency and effectiveness
  5. Scheduling a specific time for each activity
  6. Scheduling relaxation time in order to regenerate

William E. Kelly defined critical time management skills as:

  • Making task lists
  • Organizing resources and work
  • Setting goals
  • Creating and reviewing a schedule
  • Breaking down large tasks into smaller pieces

 

How Trainers Enhance their Time Management Skills

Delivering training sessions on time, is an important quality standard for all trainers. Time management is one of the delivery difficulties for novice or beginning trainers. Many trainers are not sure about what is the proper pacing for their sessions and not to rush through the material. They also worried about having too much or too little material to present. Plan well:

1. Plan your training in 15 minutes intervals.
2. Prioritize the content well, so you define:

  • What is “need-to-know” part. 
  • What is “nice-to know” part.

3. Make sure there is a clock in the training room.
4. Practice your training sessions.
5. Ask fellow trainers for feedback.
